Our Legal Reasons for Using Your Information

UK data-protection law requires us to have a lawful basis for processing personal information.

Depending on the circumstances, we may rely on:

  • Legitimate interests – where processing is necessary for our legitimate business interests or those of a third party, provided those interests are not overridden by your rights and interests. These interests may include operating our recruitment business, identifying and communicating with suitable candidates, managing relationships with clients and improving our services.
  • Steps at your request before entering into a contract – for example, where you ask us to discuss or progress a recruitment opportunity or service.
  • Contract – where processing is necessary to perform an agreement with you or manage your contractual relationship.
  • Consent – where we have asked for and received your permission for a particular activity.
  • Legal obligation – where we need to process information to comply with a legal or regulatory requirement.

Where we rely on consent, you may withdraw that consent at any time. Withdrawal does not affect the lawfulness of processing that took place before consent was withdrawn.

7

Sharing Your Information

As a recruitment business, we may need to share relevant personal information with organisations involved in the recruitment process.

Candidate information may be shared with:

  • Clients considering candidates for a role;
  • Hiring managers and authorised recruitment contacts;
  • Organisations involved in interviews or assessments;
  • Recruitment partners where appropriate and lawful; and
  • Service providers that help us operate our business and website.

Where appropriate, we will discuss relevant opportunities with you before presenting your information to a client.

We may also share personal information with suppliers and service providers that support our business, including website, email, domain, analytics and IT service providers.

Our current providers include IONOS, which we use for email and domain services, and Google Analytics, which we use to understand use of our website.

We may also disclose information to professional advisers, regulators, authorities or other parties where required by law or where reasonably necessary to establish, exercise or defend our legal rights.

We do not sell your personal information to third parties for their own marketing purposes.

8

Candidate Information and CVs

If you provide us with your CV or other professional information, we may use it to consider you for suitable current and future recruitment opportunities.

Where appropriate, we may discuss an opportunity with you before providing your details to a prospective employer.

If you do not want us to put you forward for a particular opportunity, please tell us.

If you ask us to stop contacting you about recruitment opportunities, we will respect your request, subject to information we may lawfully need to retain.

9

Sensitive Information

Some categories of personal information require additional protection. These can include information concerning health, disability, racial or ethnic origin, religious beliefs and certain other characteristics. Criminal-conviction information is also subject to additional legal requirements.

We will only collect or process this type of information where it is necessary, lawful and appropriate.

For example, information may be required to arrange reasonable adjustments during a recruitment process or to undertake a legally required recruitment check.

Where we process such information, we will apply the safeguards required by applicable law.

10

Automated Decision-Making and Candidate Scoring

Skyline does not currently use solely automated decision-making to score, rank, automatically reject or automatically shortlist candidates where the decision would have a legal or similarly significant effect.

Technology may be used to help us organise recruitment information and operate our website, but recruitment decisions are not intended to be made solely by automated systems.

If our use of automated decision-making changes in the future, we will review this Privacy Policy and provide any additional information required by applicable data-protection law.

11

How We Protect Your Information

We take reasonable technical and organisational measures to protect personal information against:

  • Unauthorised access;
  • Accidental loss;
  • Misuse;
  • Unauthorised disclosure;
  • Accidental destruction; and
  • Unauthorised alteration.

Access to personal information is limited to people and service providers who need it for legitimate business purposes.

Although we take appropriate precautions, no internet-based system or method of electronic storage can be guaranteed to be completely secure.

12

How Long We Keep Your Information

We keep personal information only for as long as reasonably necessary for the purposes for which it was collected, subject to any longer period required or permitted by law.

Candidate information

We normally retain candidate information, including CVs and recruitment records, for up to 12 months following our most recent meaningful interaction with you.

After this period, the information will normally be deleted or anonymised unless there is a lawful reason for us to retain it for longer.

Client and business contact information

We normally retain client and business contact information for the duration of our business relationship and for up to 36 months following our most recent meaningful interaction.

Other records

Financial, contractual and other business records may be retained for longer where required by law or where reasonably necessary for accounting, regulatory, contractual or legal purposes.

We may retain limited information about marketing preferences or opt-outs where necessary to ensure that we continue to respect your communication choices.

We periodically review the information we hold and delete or anonymise personal information when it is no longer required.

13

Your Data-Protection Rights

Depending on the circumstances and the legal basis for processing, UK data-protection law may give you the right to:

You have the right to object to the use of your personal information for direct marketing at any time.

To exercise your rights, contact:

Tahir Hussain
Email: hello@skylineit.com

We may need to verify your identity before processing a request.

We will normally respond within one month, although applicable law permits extensions in certain circumstances.

14

Marketing Communications

We may send recruitment updates, relevant opportunities, newsletters, information about our services and other business communications where permitted by law.

The lawful basis and rules that apply may depend on the recipient and the type of communication.

Where consent is required, we will seek appropriate consent before sending marketing communications.

You can stop receiving marketing communications at any time by:

  • Clicking the unsubscribe link contained in a marketing email;
  • Contacting us at hello@skylineit.com; or
  • Asking your Skyline contact to update your communication preferences.

We will respect your marketing preferences. We may retain limited information about an opt-out request so that we can ensure we do not subsequently send marketing communications contrary to that request.

Stopping marketing communications will not prevent us from sending essential service-related or recruitment communications where appropriate.

15

Cookies and Google Analytics

Our website may use cookies and similar technologies to operate correctly, remember preferences, understand website usage and improve the user experience.

We intend to use Google Analytics to help us understand how visitors interact with our website. Depending on its configuration, this may involve collecting information such as device and browser information, pages visited, interactions with the website and other technical or usage information.

We do not currently intend to use advertising or behavioural-tracking tools such as advertising pixels for targeted advertising.

Where required by applicable law, cookies or similar technologies that are not strictly necessary will not be activated until the appropriate consent or other applicable legal requirement has been satisfied.

Visitors will be able to manage relevant choices through the cookie-preference tools made available on the website.

We will maintain separate information about the cookies and similar technologies actually used on our website, including their purposes and, where appropriate, their duration and providers.

Our use of cookies and analytics technologies will be reviewed when the website or the technologies we use change.

Important implementation note: the site’s cookie banner and Cookie Policy need to match the technologies actually deployed. Current ICO guidance requires clear information about storage/access technologies and, depending on the particular analytics configuration, consent or a statutory exception may apply.

16

Third-Party Websites

Our website may contain links to websites operated by third parties.

We are not responsible for the privacy practices, security or content of third-party websites. We recommend reviewing the privacy information provided by those organisations before providing them with personal information.

17

International Transfers

Based on our current business arrangements, Skyline intends to process personal information in the United Kingdom.

However, some third-party technology or service providers may operate infrastructure or provide support from other countries. We will review the processing locations and contractual arrangements of the providers we use.

If personal information is transferred outside the UK, we will ensure that an appropriate lawful transfer mechanism or safeguard is used where required by UK data-protection law and will provide information about applicable safeguards where required. ICO guidance requires privacy information to explain relevant international-transfer safeguards when such transfers occur.

18

If you have concerns about how we use your personal information, please contact us first so that we have an opportunity to investigate and resolve the matter.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our business, services, website, technology, service providers or legal and regulatory requirements.
